Shift: Monday – Friday (8 am to 5 pm)
Salary: $50,000 – $65,000 (based on experience and qualifications)
Job Description: We are seeking a detail-oriented and highly organized Administrative Executive Assistant to support our client’s office operations and executive team. The ideal candidate will be responsible for a variety of administrative and clerical tasks to ensure the smooth running of daily operations. This role requires strong communication skills, problem-solving abilities, and a proactive approach to administrative support..Key Responsibilities:

  • Answer and direct all incoming calls professionally and efficiently.
  • Receive, sort, and distribute office mailings; handle outgoing mail and courier services.
  • Manage and maintain office supply inventory; order and replenish supplies as needed.
  • Assist with data entry for invoices, ensuring accuracy and timely processing.
  • Track and log insurance certificates to maintain compliance records.
  • Create, track, and log all releases of liens, Notice to Owners (NTOs), and other legal documentation.
  • Provide administrative support to the Executive Team, including scheduling, document preparation, and special projects.
  • Maintain organized filing systems for physical and digital records.
  • Assist in coordinating meetings, preparing agendas, and taking minutes as needed.
  • Support company events and initiatives, including employee engagement activities.
  • Perform other administrative duties as assigned to support office efficiency.
  • Payroll Support as needed.

Qualifications & Skills:

  • Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Experience: 2+ years of administrative or executive assistant experience.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with data entry and office management software is a plus.
  • Communication: Excellent verbal and written communication skills.
  • Organizational Skills: Strong attention to detail, ability to multitask, and prioritize workload effectively.
  • Problem-solving: Ability to anticipate needs, resolve issues, and adapt to changing priorities.
  • Professionalism: Strong interpersonal skills with a high level of discretion and confidentiality.

Physical Demands:

  • Ability to sit for extended periods while performing desk-based tasks.
  • Occasional lifting of office supplies, packages, or files (up to 20 lbs).
  • Frequent use of a computer, keyboard, and telephone.
  • Occasional walking or standing for meetings and office tasks.

  • Paid Time Off (PTO): 15 days (prorated)
