We are seeking a detail-oriented and highly organized Administrative Executive Assistant to support our client’s office operations and executive team. The ideal candidate will be responsible for a variety of administrative and clerical tasks to ensure the smooth running of daily operations. This role requires strong communication skills, problem-solving abilities, and a proactive approach to administrative support..Key Responsibilities:
- Answer and direct all incoming calls professionally and efficiently.
- Receive, sort, and distribute office mailings; handle outgoing mail and courier services.
- Manage and maintain office supply inventory; order and replenish supplies as needed.
- Assist with data entry for invoices, ensuring accuracy and timely processing.
- Track and log insurance certificates to maintain compliance records.
- Create, track, and log all releases of liens, Notice to Owners (NTOs), and other legal documentation.
- Provide administrative support to the Executive Team, including scheduling, document preparation, and special projects.
- Maintain organized filing systems for physical and digital records.
- Assist in coordinating meetings, preparing agendas, and taking minutes as needed.
- Support company events and initiatives, including employee engagement activities.
- Perform other administrative duties as assigned to support office efficiency.
- Payroll Support as needed.
Qualifications & Skills:
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Experience: 2+ years of administrative or executive assistant experience.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with data entry and office management software is a plus.
- Communication: Excellent verbal and written communication skills.
- Organizational Skills: Strong attention to detail, ability to multitask, and prioritize workload effectively.
- Problem-solving: Ability to anticipate needs, resolve issues, and adapt to changing priorities.
- Professionalism: Strong interpersonal skills with a high level of discretion and confidentiality.
Physical Demands:
- Ability to sit for extended periods while performing desk-based tasks.
- Occasional lifting of office supplies, packages, or files (up to 20 lbs).
- Frequent use of a computer, keyboard, and telephone.
- Occasional walking or standing for meetings and office tasks.
Compensation & Benefits:
- Paid Time Off (PTO): 15 days (prorated)
