Pay Rate: $17.48/hour
Job Description: Our client is currently seeking a professional, detail-oriented Customer Service Representative III – Senior Staff Assistant to provide high-level administrative and clerical support within the Facilities Maintenance Division of the Parks, Recreation & Culture Department. This position is ideal for individuals who have strong organizational and communication skills and who are seeking a rewarding opportunity to contribute to a dynamic and essential city department.

Position Summary:

In this role, you will serve as a key administrative support professional for the Facilities Superintendent. Your responsibilities will include answering and directing phone calls, preparing correspondence and reports, organizing and maintaining project and personnel files, and assisting with invoice processing and vendor coordination. You will also be responsible for tracking receipts and expenditures, attending meetings to take minutes, and supporting various office operations using standard office software and equipment.

Key Responsibilities:

  • Provide general information on department functions and refer technical inquiries as needed
  • Prepare memos, letters, and reports independently using Microsoft Word and Excel
  • Maintain accurate records of receipts, expenditures, and personnel data
  • Operate standard office equipment, including computers, copiers, scanners, and calculators
  • Manage invoice and reimbursement files for vendors, contractors, and staff
  • Compile and organize reports for internal and external distribution
  • Maintain professionalism in interactions with employees, vendors, and the public
  • May be required to work alternate hours or overtime as needed

Qualifications & Skills:

  • Experience with invoice processing (preferred, but not required)
  • Proficiency in Microsoft Outlook, Word, Excel, and other common office applications
  • Excellent written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Strong attention to detail and ability to meet deadlines

Minimum Requirements:

  • High school diploma or GED; college-level coursework preferred
  • At least three (3) years of experience in clerical, secretarial, or administrative support roles
  • Valid Florida Class E driver’s license with a good driving record
